Primary Purpose:
Facilitate the efficient operation of the school counseling office and provide clerical services to professional staff. Maintain current and accurate confidential student records.

 

Qualifications:


Education/Certification:
High school diploma or GEDCandidate must have satisfactory outcome of fingerprinting background check. Non-refundable fee (approximately $50.00) paid by the employee

 

Special Knowledge/Skills:

  1. Proficient word processing and file maintenance skills
  2. Effective organizational, communication, and interpersonal skills
  3. Ability to use personal computer and software to develop spreadsheets, databases, and do word processing

 

Experience:

Two years secretarial experience, preferably in public education environment

 

Major Responsibilities and Duties: 

  1. Records, Reports, and Correspondence
  2. Maintain cumulative folders including updating assessment labels.
  3. Prepare documents and lists for honor roll, awards assemblies, and other student recognition programs.
  4. Records student information, including test scores and final grades, or permanent records.
  5. Assist with the registration of new students, including requesting and sending student records, setting up cumulative folders, and entering student data into appropriate databases or computer programs.
  6. Input student course selections into the students’ information system.
  7. Input At-Risk coding into the student information system.
  8. Serve as receptionist for the counseling office.
  9. Assist students, parents, and teachers including distributing testing, scholarships, and other college materials.
  10. Assist counselor with scheduling of Admission, Review, and Dismissal Committee (ARD) meetings and appointments.

Other 

  1. Receive, distribute, and ensure security and confidentiality of testing materials.
  2. Provide clerical services for the counselors.
  3. Maintains confidentiality.
  4. Complete other job-related duties as assigned by the school principal and/or counselor.

Tools/Equipment Used: Standard office equipment including personal computer and peripherals
Posture: Prolonged sitting; occasional standing, walking, bending/stooping, pushing/pulling, crouching, and twisting.
Motion: Repetitive hand motions; frequent keyboarding and use of mouse; occasional reaching; Sensory ability needs-hearing, near vision, far vision, peripheral vision, individual color distinction, depth perception.
Lifting: Occasional light lifting and carrying (less than 15 pounds)
Environment: May work prolonged or irregular hours; exposure to occasional cold and heat.
Mental Demands: Work with frequent interruptions; maintain emotional control under stress
